Pricing guide

How much custom software costs in Colombia

Across the projects GeekCorp has delivered, a piece of custom software in Colombia costs between COP 5 million and COP 500 million, Colombian pesos, roughly USD 1,200 to USD 120,000 at current exchange rates, an approximation that moves with the rate. The range is that wide because you are not buying a product off a shelf. You are buying a team's time solving one specific problem, and that problem can be getting a maintenance work order off paper, or connecting the fleet, the on-board validators and the apps of an entire public transport system.

What decides where your project lands in that range is the scope, the integrations with the systems you already use, the platforms involved (web, mobile or both) and how well defined the process is when it reaches the table. Nobody can give you a tighter number without understanding your case. What can be explained, honestly, is what moves the price.

The range

Why the cost of custom software in Colombia runs from COP 5 million to COP 500 million

Almost no development company publishes prices, and it is not because there is something to hide. Quoting software means quoting people's hours, and those hours depend on what has to be built. Behind the same sentence, "I need an app for my orders", one business needs a form that sends an email, and another needs inventory, routes, online payments and a connection to its invoicing system. A fixed public number would mean overcharging the first client or losing money on the second.

So whether you are asking how much an app costs or how much a custom system costs, the honest answer is the same: it depends on what you need built. Most projects land somewhere in the middle of the range, and there is no honest way to tell you where without understanding your operation first. The range is real; the precision has to be earned in a conversation.

Low end of the range

Around COP 5 million

Projects covering a single process, few users, no integrations, and a client who arrives with the process already clear.

High end of the range

Up to COP 500 million

Platforms with several applications, hardware in the field, real-time data, and months of work from a full team.

Nearshore

Why nearshore in Colombia instead of your own country or a team twelve hours away

Two reasons hold up, and one that gets oversold. The first is the clock. Colombia runs on UTC-5 all year and does not observe daylight saving, so the working day overlaps almost entirely with US Eastern and Central time. You can raise a question at nine in the morning, get an answer before noon and review the result the same afternoon. That is the difference between a weekly cadence and a daily one.

The second is cost: for comparable work, a team in Colombia is usually less expensive than an in-house team in the United States or Canada. We do not publish rate comparisons by country, because the honest version depends on seniority, scope and how much management you have to supply yourself.

The third reason is the one we would not lead with, which is price on its own. A cheap team that builds the wrong thing is the most expensive option on the table. What should decide the contract is whether the provider writes the scope down before quoting, who ends up owning the code and the cloud accounts, and how changes are handled. Ask that of any provider, in any country.

Factors

What moves the price of a custom software project

These are the factors that weigh most in a software development budget. Each one pushes your project toward one end of the range or the other.

/01

Scope

How many processes the first version solves. Logging service orders is one process; logging them, assigning them by technician, billing them and reporting on them is four.

/02

Roles and users

A system where three admin staff do the same thing is not the same as one where the salesperson, the warehouse clerk, the driver and the customer each see different screens and permissions.

/03

Integrations with what you already use

If the system has to talk to your invoicing, your CRM, your payment gateway or WhatsApp, every connection is separate work. This is the factor that breaks the most budgets when it surfaces late.

/04

Platforms

A web application is one piece. An app for Android and iPhone plus the office web panel are several, they have to work together, and they have to pass store review.

/05

AI or hardware

An assistant that writes reports the way your team writes them, or a system that reads cameras or sensors in the field, has to be trained, tested and calibrated, not just programmed.

/06

Urgency

A short deadline forces more people in parallel and less testing time: it costs more and leaves less room to correct course.

/07

Who supplies the design

If you already have approved screens, that stage is saved. If they have to be defined from scratch, that work belongs in the quote.

/08

Quality of the information you bring

A documented process, with real examples and one person who knows it, shortens discovery. A process that only lives in one employee's head stretches it.

/09

Maintenance afterwards

If the system is going to grow and you need someone to look after it and change it, that is agreed from the start and it changes how it gets built.

Context

Why the same problem costs several times more at one company than at another

Two companies with the same problem can pay very different amounts to solve it, and the difference is almost never the technology. It is how the project arrives at the table.

No definition

When nobody has written down how the process works today, the team discovers it while building, and every discovery is paid for in hours.

Scope changes halfway through

"While we’re at it, let’s add inventory." Every addition reopens what had already been tested.

Integrations that appear late

When the system is almost finished and someone remembers it has to reconcile with the accounting software.

Nobody on your side with time

A team waiting on answers, tests and approvals costs money without moving forward.

Savings

How to lower the cost without lowering the quality

Lowering the cost is not asking for a discount. It is removing work that adds nothing, and four decisions move a budget more than any negotiation.

/01

Start with the process that hurts most

If the operation loses money because service orders get lost on paper, the first version solves that and nothing else.

/02

Make the first phase small

A system in real use teaches more than any document.

/03

Reuse what already works

If your invoicing or your CRM do their job, the new system connects to them instead of replacing them.

/04

Get the process clear before asking for a quote

Write down, step by step, who does what today and where it breaks. If you can hand that over on day one, discovery gets shorter and cheaper.

The quote

What a serious quote has to include, and the warning signs

A serious quote describes what is going to be built before it says what it costs.

At minimum it should contain

  • The scope in writing: what is included and what is not.
  • The phases and their deliverables.
  • The budget per phase, and the currency it is stated in.
  • Who ends up owning the code and the cloud accounts.
  • How scope changes are handled and priced.
  • The warranty, and what happens with maintenance after delivery.

You can check these items against the projects we have delivered in our portfolio.

Signs that should stop you

A price before anyone asked about your operation

It is a made-up number, whoever it comes from.

"All inclusive" with no written scope

It means the provider decides what "all" meant, whenever that suits them.

A proposal that never says who maintains the system

It leaves you with no way out the day you need an adjustment.

Code or cloud accounts in the provider's name

You stay tied to them even when the service stops working.

The three billing models you will be offered

Ask the quote to state which one applies and what happens when something changes.

Fixed price for a defined scope

Certainty if the scope is well defined; punishment for both sides if it is not.

Dedicated team per month

Flexibility for projects that evolve, in exchange for you directing the work.

Project in phases

Each phase with its own scope and price. It combines certainty inside each phase with freedom to decide the next one.

After delivery

What happens to the cost after the software is delivered

Delivered software still has costs, and an honest quote says so from the start. There are three.

Hosting

The cloud servers where the system lives. It is paid on a recurring basis and grows with usage.

Maintenance

Security, the failures that only real use reveals, and adjustments when the app stores or the systems you integrate with change.

Changes

New features the business asks for once it is actually using the system.

Ask how each of the three is billed, whether the hosting sits in an account under your own name, and whether you are free to contract maintenance with a different team. A system whose code and accounts belong to you gives you that freedom.

Our process

How GeekCorp quotes

We do not give a number before understanding the problem. It starts with an initial consultation at no cost, where we talk to the person who runs the process today, because that is where the details that change the scope actually live. That conversation ends in a scope document: what gets built, how it splits into phases with deliverables, what each phase costs, the risks we see and the order we propose. That document is what you receive before deciding, and it is the basis of the contract.

The rest is written down too. The code, the documentation and the cloud accounts stay in your name; we sign an NDA before looking at your information; the work is built in phases with acceptance criteria; and after the warranty period you decide whether you want support or a dedicated team. GeekCorp S.A.S was incorporated in 2020 and works with its own staff. Our base is in Córdoba, with presence and project work in Montería and Barranquilla; for the rest of Colombia and for clients abroad we work remotely, with on-site visits for discovery when the project calls for it.

Limits

When custom software is not worth building

There are cases where building your own system is the expensive answer to a cheap question.

  • If an off-the-shelf product already solves your process the way it works today, there is no sense in paying to build it.
  • If the process changes every week because the business is still deciding how it operates, any system will be outdated before it ships.
  • If nobody at your company will have time to take part, test and approve, the project will stretch out and cost more.
  • If what you need is a showcase for your business rather than a system that runs processes, a website is a different kind of work and a different order of price.

Cases

Two real ends of the range: Navas and Op-Tra

Navas is a technical maintenance company working on air conditioning and refrigeration. Its technicians documented every visit on paper: the work order, the photos, the client's signature and the service report were assembled by hand and went missing. We built a web and mobile application where the technician receives the assigned order, documents the job with photos, records the procedure and signs on site; the client receives a PDF service report generated automatically. It was delivered in two months and is in operation.

We do not publish impact figures we have not measured, and we do not attach a price to it. We tell it because it is the kind of contained, single-process project that sits far from the high end of the range.

At the other end is Op-Tra, the modernization of public transport in Montería: real-time fleet monitoring, on-board validators and apps for riders and operators. Twelve months of work, executed under agreement 1367-2024 of the Colombian ICT Ministry with Universidad Nacional de Colombia, and in operation today.

FAQ

Frequently asked questions about software costs

Why doesn't anyone publish software development prices?

Because custom software is quoted by the work it demands, and that work changes with every company. The same request can mean a simple form or a platform with several applications and integrations. A published price would force a provider to overcharge some clients and lose money on others. The honest thing is to publish the range, in our case COP 5 million to COP 500 million, and explain what moves it.

How much does a mobile app cost?

Within the range of COP 5 million to COP 500 million, a mobile app rarely lands at the low end, because it means building for Android and iPhone, passing store review and almost always adding a web panel the office uses to feed it. How far it climbs depends on whether it has to work offline, use GPS or the camera, connect to your existing systems, and how many types of user it serves. With the process clear and the integrations listed, someone can tell you where in the range it falls. Without that, any figure is invented.

Is it cheaper to hire a freelancer or someone from a marketplace?

It can be cheaper in the initial quote and more expensive by the end. A freelancer works well for a small, well-defined scope one person can cover alone. The risk is continuity: if they get sick, take a job or change priorities, the project stops and the next team has to understand someone else’s code. Compare like for like against the same written scope, and ask who maintains the system after delivery.

How much does it cost to maintain the software afterwards?

It depends on three things: hosting, which is paid recurrently to the cloud provider and grows with usage; maintenance, which covers security, failures and adjustments forced by external changes; and the new features the business asks for. A serious quote states how each one is billed before you sign. Ask as well whether the hosting sits in an account under your own name, because that is what lets you change maintenance providers if you ever need to.

Can I pay in phases?

It is one of the usual ways to contract software development and, for most mid-sized companies, the most sensible one. Each phase has its own scope, deliverables and price, and you decide the next one with what you learned from the last. At GeekCorp the scope document presents the budget split by phase, stating what each one includes. That lets you start with the process that hurts most without committing the whole budget at once.

How much does an AI assistant for my company cost?

It falls inside the same range of COP 5 million to COP 500 million, and it depends on what the assistant has to do, how much documentation it has to learn and which systems it has to connect to. An assistant that answers questions about your internal manuals is a different project from one that drafts technical reports the way your specialists would. The heaviest factor is not the technology: it is having the expert available and a set of already-approved examples to test against. On AI projects we work on enterprise API plans from providers such as Anthropic and OpenAI, where the information you send is not used to train their models.

What happens if the project goes over budget?

If the scope was written down, the answer is simple: anything outside it gets quoted separately before it is built, and you decide whether it goes in now, in a later phase or never. Projects blow their budget when there was no scope to begin with, or when things were added without being quoted. That is why the scope document matters more than the price: it is what protects you when someone says "while we’re at it".

How long does it take to get a quote, and can you work with a company outside Colombia?

It takes as long as understanding your operation takes. A documented process, with real examples and the person who runs it available to talk, gets quoted quickly; a process that has to be uncovered across several meetings takes longer. That stage is our initial consultation, which has no cost; if there is a fit, the next step is a scope document with a budget per phase. We work remotely with clients outside Colombia, we sign an NDA before seeing any of your information, and the shared time zone means calls happen inside your business hours, not at the edges of them.

Contact

Tell us the problem and we will tell you where in the range it falls

Write to us through the form or on WhatsApp. The initial consultation has no cost: we understand the problem and tell you what we would do. If there is a fit, the next step is a scope document with phases, deliverables and budget. If the idea has not been validated yet, the first step we propose is not a quote but a short definition phase, which does have a cost and is credited if we build. If an existing tool already solves your case, we will tell you so.
